General Admin Staff (6 months contract)/ Nhân viên Hành chánh (HĐLĐ 6 tháng)
Report to: General Admin Assistant Manager
Key Accountabilities:
Office operations and management:
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Update and manage contact list as periodic.
- Provide and manage no. of official outgoing documents.
- Manage welcome drinking for the meeting room as requested.
- Supervise and enhance for office cleaning and hygiene (flower, plant, disinfection, cleaning…).
- Plan, order, purchase, control and collaborate with vendors, relevant teams to ensure our office operation is sustainable (utilities and refreshment, stationeries, printer, photocopier, telephone, postage…).
- Follow up with vendor, relevant teams to proceed with the payment process on time for those services to office operations.
- Others admin tasks as assignments.
Employee services:
- Work with vendors and relevant teams to properly arrange domestic travel booking and arrangements: hotel, flight ticket, transportation and accommodation.
- Follow up and proceed with the payment process to vendors (air tickets, taxi, car rent…)
- Expat services & event supports:
- Expat services: documentaries, registration, notarization and other services like car and house rent.
- Event support: event launching, tea-break setup, transportation arrangement, accommodation
- booking etc.
- Follow up and proceed with the payment process to vendors
Job Requirements:
- University/college graduated.
- Proficiency in MS Office (MS Excel, MS word and MS PowerPoint)
- Familiar with office equipment, like printer, photocopier & scanner
- At least 1 year experience in administrative or relevant
- Strong organizational skills with the ability to multi-tasks
